The short version
- We collect what you type into our forms, so we can answer you and connect you with the right agent.
- When you ask about a listing, your details go to the agent responsible for it, and to nobody else.
- The public site has no advertising or analytics trackers and sets no cookies.
- We do not sell your personal information, or share it with anyone for advertising.
- You can ask to see, correct or delete what we hold about you at any time: info@rentnasi.com.
Who we are
Rentnasi lists homes and commercial space for rent, sale and lease in Kenya, manages properties for their owners, and runs this website at rentnasi.com. For the personal information described here, we are the data controller under Kenya's Data Protection Act, 2019. Our contact details are at the end of this page.
What we collect and why
When you ask about a listing
Your name, phone number, email address if you give one, and your message, together with the listing you asked about. We also record the internet address and browser your enquiry came from, which helps us spot and block spam. We use this to answer you and to arrange viewings, and we pass it to the agent responsible for that listing.
When you contact us, or ask us to manage your property
Your name, phone number, email address, your message, and for property management the number of units and the best time to call. We use it to reply, and to prepare a quote if you asked for one.
When you ask us to find you a home
Your name, a phone number or email address, and what you are looking for: the type of property, bedrooms, area, budget, when you need to move, and any notes you add. Your request appears on the public house-hunting board so that agents and landlords with a match can answer it. On the board we show your name and what you are looking for. We never show your phone number or email address there; only our staff can see those, and replies come to you through us.
When you have an account
Agents, landlords and other members who sign in give us their name, email address and phone number, and choose a password, which we store only in a form that cannot be turned back into the password. You may add a profile photo, a short bio and links to your social profiles. If you sign in with a RentalPay account, we keep your RentalPay account reference so we can recognise you next time.
When you list a property
The details and photographs of the property, which are published on the listing. If you record the owner of a property, the owner's details are kept for our own records and are never shown on the site.
What is recorded automatically
Like any website, our servers log requests (the internet address, the time and the page asked for) to keep the site running and secure. We count how many times each listing is viewed, as a total; those counts are not linked to you.
Facebook and Instagram
We run a RentNasi Facebook Page and Instagram account, and our staff manage them, including posting, replying to comments and answering messages, from our own dashboard, through an app we have registered with Meta.
- If you comment on one of our posts or send us a message, authorised staff read it and the public name or username it came with so they can reply. It is read from Meta when we open our inbox; we do not copy your comments or messages into our own database.
- The exception is when a member of staff turns your question into an enquiry so it can be followed up. Then your name or username and your message are saved as an enquiry, as described above.
- Whatever you post on Facebook or Instagram is also governed by Meta's own privacy policy.
- The access that lets our dashboard act for our Page is stored encrypted, and only for the people at RentNasi who manage our pages.
Cookies and tracking
The public site uses no advertising or analytics trackers and sets no cookies. If you sign in to our dashboard, your session is kept in your browser's storage so you stay signed in, and it is removed when you sign out.
Some listings include a video from YouTube, TikTok, Instagram, Facebook or Vimeo, played in that platform's own player. When you play one, that platform may set its own cookies, under its own privacy policy; YouTube videos are loaded in its privacy-enhanced mode. The Directions button opens Google Maps, and your location is shared with Google, not with us.
Who we share it with
- The agent or landlord for a listing, when you ask about it, so they can answer you.
- Companies that run parts of our service for us: the provider that hosts our website and database, and the service that delivers our email. They may use your information only to provide that service to us.
- RentalPay, if you choose to sign in with a RentalPay account.
- Meta, for what we publish on, or reply to through, Facebook and Instagram.
- Authorities, where the law requires it.
We do not sell your personal information, and we do not share it for advertising.
How long we keep it
We keep enquiries and house requests while they are being followed up and for as long as we need them for our business records, then delete them or remove what identifies you. Accounts are kept until you ask us to close yours. Server logs are kept for a short period for security. We review what we hold and delete what we no longer need. Where the law requires us to keep a record for longer, for tax or contract reasons for example, we keep it for that long and no longer.
How we protect it
The site and our dashboard are served only over an encrypted connection. Passwords are stored in a form that cannot be reversed, the Facebook and Instagram access our dashboard uses is stored encrypted, and access to personal information is limited to the staff who need it for their work. No system is perfectly secure; if something goes wrong that puts your information at risk, we will tell you and the Data Protection Commissioner as the law requires.
Your rights
Under Kenya's Data Protection Act, 2019, you have the right to:
- be told how your personal information is used, which is what this page is for;
- see the personal information we hold about you;
- have it corrected if it is wrong or out of date;
- have it deleted;
- object to us using it, or withdraw consent you have given;
- receive it in a form you can take elsewhere.
To use any of these, email info@rentnasi.com. We may ask you to confirm who you are first, so that we only ever give your information to you. If you are unhappy with how we have handled your information, you can complain to the Office of the Data Protection Commissioner.
Deleting your data
Email info@rentnasi.com with the subject “Delete my data”, and tell us the phone number or email address you used with us, so we can find everything. We delete your enquiries, house requests and account, and confirm when it is done. We keep only what the law requires us to keep, and tell you what that is.
If you connected Facebook to our dashboard (this applies to RentNasi staff only): removing our app in your Facebook settings, under Settings & privacy, then Apps and websites, tells us automatically. We then delete the connection we stored and cancel any posts that had not yet gone out, and Facebook shows you a confirmation code you can quote to us.
If you commented on or messaged our Facebook Page or Instagram account: we do not store those in our own systems, so there is nothing for us to delete unless a member of staff saved your question as an enquiry. To have that removed, email us as above. To delete the comment or message itself, use Facebook or Instagram.
Children
Our services are for adults looking for, letting or selling property. We do not knowingly collect personal information from anyone under 18. If you believe a child has given us their details, contact us and we will delete them.
Changes to this policy
When what we collect or how we use it changes, we update this page and the date at the top. If a change is significant, we will make it clear on the site.
